A quick overview of how Clinic Registry works.
Core rule
One client can have only one ACTIVE enrollment across all clinics in the network. If your staff tries to enroll someone who is already active at another clinic, the request is blocked—unless you request a transfer from that clinic.
Main flow
- Enroll — Add a new client with full name, DOB, driver license, and optional address. You can optionally upload a DL scan. Matching is by driver license only.
- Clients — View all enrolled clients. Click a client to see details, enrollment history, and documents. Org admins see the full DL on the client profile.
- Transfers — When a client is enrolled elsewhere, you can request a transfer. The owning clinic approves or denies. Pending transfers appear here.
- Alerts — Get notified when someone tries to enroll a client you own, or when a transfer is decided.
- Documents — Upload driver licenses or other documents per client. Access them from the client profile.
Matching
Clients are matched by driver license number only. The same DL at two clinics means the same person—no duplicates. Only the last 4 digits are shown in lists; org admins see the full number on the client profile.
Roles
- Org Admin — Full access to clinic settings, employees, and transfers.
- Staff — Can enroll clients and view data; may have limited permissions.
